Best receipt scanning software for loyalty programs

How receipt scanning actually works, where it fails, and the four ways to buy it, written for brands that need to see purchases made in stores they do not own.

Receipt scanning exists to answer one question. Who bought your product when the purchase happened somewhere you cannot see?

For a brand selling through grocery, mass, pet, specialty, or a distributor network, that is most purchases. The retailer owns the transaction. You receive sales reports showing units moved, and nothing at all about the people who moved them. Receipt scanning is the shopper handing you the evidence directly.

This page is about the technology and how to evaluate it. If the broader question is which kind of loyalty software to buy, start with our guide to loyalty software for CPG brands, and come back here when receipt accuracy becomes the deciding factor.

What receipt scanning actually does

A member photographs a receipt. Software reads the image and returns structured data. The program decides whether the purchase qualifies and credits the member.

Three things have to work, and vendors differ far more on the second and third than on the first.

Extraction. This turns a photograph into fields, including retailer, date, totals, and ideally each line with its description, quantity, and price. Reading a clean receipt is close to solved. Reading a creased, faded, two-foot receipt photographed at an angle in bad light is not.

Matching. This decides whether what was extracted is your product, bought at a participating retailer, inside the promotion window. This is where most programs actually break, and it depends on lists the brand maintains rather than on the OCR.

Adjudication. This decides what happens to everything the software is unsure about. Most serious vendors use a confidence threshold with a moderation queue beneath it. How that queue is staffed, how fast it moves, and what the member sees while waiting is the difference between a program people trust and one they abandon.

The four ways to buy it

Receipt scanning is sold in four quite different shapes, and most confusion in this market comes from treating them as one.

Loyalty software with receipt scanning built in. This is an ongoing member program where receipt submissions and direct orders land on the same member record. You get the program and the capture together. TrueLoyal, Annex Cloud, and Bubblehouse sit here. Antavo adds it through an integration with Doxis (formerly Klippa).

Promotion and rebate specialists. This is receipt validation built around campaigns such as a rebate, a sweepstakes, or a gift with purchase. These vendors are excellent at running the campaign, and the relationship generally ends when the campaign does. Brandmovers and Snipp work this way, and Snipp repositioned in March 2026 around marketing measurement and attribution.

OCR infrastructure. This is an API that takes an image and returns structured data, with no member management, no rewards, and no program. Doxis (formerly Klippa) and Veryfi are established names. These are components, and they assume you are building everything around them.

Card-linked offers. This is a different route to the same problem. The shopper links a payment card, and qualifying transactions are detected through the card networks with no receipt and no shopper effort. It needs merchant participation and typically returns the transaction total rather than the basket, which matters when you need the SKU.

How to evaluate it

Most comparisons in this category list features. These are the questions that actually separate vendors.

Does it return line items or only the header? A receipt proving someone shopped at a grocery chain is nearly useless. A receipt proving they bought your 12oz variant tells you what to reward and what to send next. Ask to see description, quantity, and unit price per line, and not just a total.

What is the confidence threshold and what sits below it? Vendors set a score above which a receipt is auto-approved. Annex Cloud's documentation, for example, recommends a threshold between 0.7 and 1 and routes everything below it to human moderation. Ask what yours would be set to, what share of real submissions fall below it, and who reviews those.

Who staffs the moderation queue and how fast is it? This is the most under-asked question in the category. A member who submits a valid receipt and hears nothing for four days is a member you have lost, and you will not hear about it. Ask for the median and the 95th percentile turnaround, and not the average.

How are duplicates handled? Think about the same receipt submitted twice, from two accounts, or photographed from a screen. Approaches vary. Doxis (formerly Klippa) describes image hashing to identify duplicates, while other vendors' public documentation does not describe duplicate handling at all, which is not the same as lacking it. Ask specifically, and ask what happens to the member when a submission is wrongly rejected.

How does retailer and product matching work, and who maintains the lists? Most platforms match extracted products against a product list and extracted retailers against a retailer list, both maintained by the brand. That means a new banner, a new distributor, or a new pack size quietly breaks valid submissions until someone updates the list. Ask who owns that, how often it is reviewed, and what a member sees when a legitimate receipt is rejected because the list was out of date.

What submission channels are supported? App upload is standard. Some platforms accept SMS or WhatsApp, usually with the sending number matched to the member profile. More channels means more submissions and more edge cases.

Does a submission land on the same member record as an online order? If receipts produce one record and ecommerce orders produce another, you have bought a receipt tool rather than loyalty software, and you will discover it when you try to count your members.

What do you keep if you leave? Ask about member records, transaction history, the export format, and how quickly you get them.

Rewards catalog size, gamification, and the number of integrations are left off that list on purpose. Those matter once capture works. Before that, they are decoration.

Testing it properly

Vendor demos use clean receipts. Yours will not be.

Collect ten bad receipts before you take any demo. Include creased ones, faded thermal paper that has been in a pocket, and a two-foot grocery receipt with your product four items from the bottom. Add one photographed at an angle, one in poor light, and one partially cut off. Include a receipt from a retailer you only recently gained, and one for a pack size you launched this year.

Send the same ten to every vendor on your list and compare what comes back at line level. Ask each one what their system did with the three it handled worst, and how long a member would have waited.

That test will separate vendors in a way a feature matrix cannot.

The vendors, briefly

TrueLoyal combines a member program with line-item receipt scanning on one member record, alongside brand community and user-generated content through Fan Club™. It is built for brands selling through third-party retail, including B2B and distributor structures. It is not the lightest option, and a brand selling almost entirely direct should buy something simpler. See how it works for CPG brands.

Annex Cloud is the closest comparable on capability, with OCR against a configurable confidence threshold, a human moderation queue, product and retailer matching, and submission by app, SMS, or WhatsApp. It is built for large multi-brand, multi-region enterprises.

Bubblehouse pairs receipt scanning with subscription loyalty and gamification, and positions itself for brands with roughly $10 million to more than $250 million in annual revenue.

Brandmovers runs receipt validation (ValidSpend) alongside a promotions builder in its BLOYL platform, as part of a full-service engagement that includes strategy and legal compliance.

Snipp validates receipts at large volume and now positions around marketing attribution rather than loyalty.

Doxis (formerly Klippa) is OCR infrastructure with line-item extraction, image-hash duplicate identification, and campaign-rule validation, available as an API, an SDK, or a low-code workflow builder. Veryfi is the other established infrastructure name.

Antavo is a loyalty engine that adds receipt scanning through an integration with Doxis (formerly Klippa), with usage terms arranged through Doxis.

Choosing, in one paragraph

If you have engineers and want to own the program layer, buy OCR infrastructure and build. If you need one campaign run properly, hire a promotions specialist. If you need an ongoing relationship with people who buy your products in stores you do not control, buy loyalty software with receipt scanning built in, and choose between those on line-item accuracy against your own worst receipts, on how fast the moderation queue moves, and on whether one member record holds across channels.

Frequently asked questions

How accurate is receipt scanning?

Accuracy on clean receipts is high across every serious vendor, which is why vendor-supplied accuracy figures are not very informative. The differences appear on creased, faded, and very long receipts, and on matching a line to the right variant rather than just the right brand. Test with your own worst receipts.

What happens when the software cannot read a receipt?

It goes to a moderation queue for human review. Most serious platforms have one, usually triggered by a confidence score falling below a configured threshold. The questions that matter are who staffs that queue, how long review takes, and what the member is told while they wait.

Can receipt scanning read line items or only the total?

The better implementations return each line with description, quantity, and price. Some return only header data such as retailer, date, and total. If you need to know which product and which size was bought, confirm line-item extraction specifically rather than assuming it.

Do I need receipt scanning if I use card-linked offers?

They solve the same problem differently. Card-linked offers remove shopper effort but typically see the transaction total rather than the items, and depend on merchant participation. Receipt scanning asks more of the member and tells you exactly which product was bought. Brands needing SKU-level detail generally end up with receipts.

How much does receipt scanning software cost?

Few vendors publish pricing. The shape varies. OCR infrastructure is usually priced per document, loyalty software with scanning built in is usually a platform fee, and promotion specialists usually price per campaign. The pricing shape tells you what the product is built for, often more honestly than the positioning does.
